The Role

Working in our Vancouver head office located on historic Beatty Street, we are seeking a bright and results-driven Client Services Administrator who will provide a critical role as the key interface between clients, our Appraisers and our Engineering experts. Normac’s Client Services team is front and centre with our clients and their incredible dedication to service has created an enviable reputation as demonstrated by positive feedback from clients. This top notch team consistently surpasses client expectations and we are looking for someone who is ready to embrace Normac’s customer service to the highest standards.

One part client concierge, one part appraiser support system, one part admin guru, the Client Services Administrator will be hands-on and integral to the growth of the company as we expand our operations across Canada. This position would be the perfect fit for someone who enjoys administrative duties and working directly with clients, and also has strong attention to detail, excellent communication skills and a passion for delivering first-class customer service.

Required Education and/or Experience

  • Administration certificate or equivalent and minimum of 4+ years office administration experience

Responsibilities

  • Prepare and follow up on proposals and quotes for new business
  • Communicate with clients over telephone/e-mail in a timely manner and in all situations by providing the information they require and resolving their needs
  • Prepare and send appraisal, depreciation, and other building sciences reports in a high volume environment
  • Schedule and coordinate property inspections
  • Establish a strong rapport with clients and colleagues
  • Organize and maintain filing system and maintain company database of information
  • Answer incoming calls and respond to all inquiries in a time sensitive and friendly manner
  • Create invoices for clients
  • Work with team to ensure that monthly report deadlines are being met
  • Collaborate with the team to continually strive to increase efficiency
  • Create customer loyalty by going above and beyond to ensure customer retention and new business development
  • Uphold Normac customer service to the highest standards

Skills and Qualifications

  • Excellent organization and communication (verbal & written) skills
  • A passion for customer service and exceeding client expectations
  • Ability to work independently with minimal supervision as well as part of a team
  • Excellent attention to detail
  • Ability to meet deadlines without compromising deadlines, quality or accuracy
  • Exceptional time management skills and the ability to handle multiple tasks and unique projects
  • Thrives in a fast-paced, high volume environment that is growing and changing
  • Strong analytical and problem solving skills
  • Ability to work well under pressure while maintaining a friendly and positive attitude
  • Proficient in MS Office, especially in Excel and Word
  • Experience using Maximizer (CRM Software) and Quickbooks (accounting software) is an asset
